BUILD THE LOOP privacy notice
Draft for review. Not in force and not legal advice. Placeholders are in [square brackets]. Review before the pilot (docs/mvp-plan.md, O7).
Effective [date]. This notice covers the BUILD THE LOOP web app at [app address]. The Samwoo Technologies website has its own privacy page.
Who we are
BUILD THE LOOP is run by Samwoo Technologies Inc., 700 – 401 West Georgia Street, Vancouver, BC V6B 5A1, Canada. Questions, requests and complaints about your personal information: [privacy@domain]. That address reaches the person responsible for privacy at Samwoo Technologies.
What we collect
When you create an account
- Your email address.
- How you sign in: email code, Google or Apple. If you use Google or Apple, we receive your email address and an account identifier from them. We do not receive your password, contacts or anything else from those accounts.
- Your Builder number, which we create for you.
- A name for your Passport, only if you choose to add one.
- The date you agreed to this notice and the terms, and whether you want status updates.
When you use the app
- The contributions you record: number of pairs, kinds of shoes if you choose them, the collection event or drop-off point, dates, and changes or cancellations you make.
- Later, when Samwoo and drop-off points start confirming contributions: the number of pairs received, the material lot they join and the project that lot is used in.
Automatically
- A sign-in cookie that keeps you signed in. It is needed for the app to work. We use no advertising or tracking cookies.
- Our hosting provider processes your IP address and browser details to deliver each page and protect the service from abuse. We use your IP address for a short time to limit repeated sign-in attempts; we do not store it with your account or sessions.
- Visit statistics without cookies (Cloudflare Web Analytics): pages viewed and aggregated counts, not tied to you or your account.
We do not ask for your address, phone number, date of birth or payment details.
Why we use it
- To run your account and Passport: sign you in, keep your records and show their progress.
- To send the emails you need: sign-in codes and account notices (such as confirming that your account was deleted).
- To send status updates about your contributions, only if you turned them on. You can turn them off in Account at any time or with the link in each update.
- To count contributions and plan collections, using totals that do not identify you.
- To keep the service secure and fix problems.
We do not sell your information, use it for advertising or send you marketing email.
Who sees it
- Drop-off points and collection events see your Builder number and the contribution you show them, never your email or name.
- Samwoo staff who run BUILD THE LOOP see what they need to support you and record collections.
- Service providers process it for us under their own security and privacy
commitments:
- Cloudflare hosts the app and its database and delivers each page.
- Resend sends our emails.
- Google or Apple, only if you choose to sign in with them.
- Anyone else only if the law requires it.
These providers may store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law.
How long we keep it
- Your account and records: for as long as you keep your account.
- When you delete your account: we remove your email, name, sign-in methods, Builder number and the contributions you recorded straight away. Pairs already received stay in their material lot as anonymous counts, because they are part of what was built. Backups that still contain your data expire within [30] days.
- Sign-in codes expire after 10 minutes and work only once.
Your choices and rights
- See and download your information: Account → Download my data.
- Correct it: change your name in Account; write to us for anything else.
- Delete your account: Account → Delete my account.
- Stop status updates: Account → Updates, or the link in any update.
- Ask a question or complain: write to [privacy@domain]. If you are not satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner for British Columbia or the Office of the Privacy Commissioner of Canada.
Children
BUILD THE LOOP is for people aged 13 and over. A parent or guardian can record shoes their younger children give on their own account.
Security
Information travels encrypted (HTTPS). Sign-in uses one-time codes or your Google or Apple account, so we store no passwords. Access to the database is limited to the people who run the service.
Changes to this notice
We will post changes here with a new effective date, and email you about important changes before they apply.
